Salary: $18.00 - $24.00 per hour, depending on experience

In addition to our listed benefits, we also offer a quiet office environment with operating hours of 8:00 - 5:00, M-F, with 1-hour lunch periods (closed weekends).

Summary: Position provides administrative support to the Service Center/or Department in the areas of billing, collections, customer service, purchasing, report generation and analysis, inventory control, payroll, shipping and receiving. Depending on the department or Service location, administrative duties may vary.

  • Ability to continually be organized, multitask, works under pressure, and apply critical thinking skills / deadlines, in a positive and professional manner.
  • Receive incoming / prepare outgoing shipments; route to appropriate department / ship via appropriate carrier. Must be able to lift 35 lbs.
  • Provide an effective customer service in person and by phone/online ; answer, route, and manage incoming phone calls in a professional and courteous manner.
  • Provide administrative support in document management and perform administrative work on processing customer transactions that includes but not limited to data entry, processing order/ invoices/ payment/ reports & setting up contracts.
  • Ensures proper coordination with Purchasing and a strong familiarity on supply chain common terms and transactions such as Vendors, Subcontractors & Partners
  • Ability to keep track on personnel hours and support personnel service calls, pickups & deliveries.
  • Proper coordination on scheduling of technicians with customers.
  • Manage and order parts, office supplies, restock other office and inventory items.
  • Petty Cash
  • Maintains accurate inventory through small, frequent cycle counts
  • Other duties as assigned.

Education and/or Experience:

  • High School diploma or general education degree (GED); or 1-year related experience and/or training; or equivalent combination of education and experience; previous experience in dispatching, office management, bookkeeping, collections, or billing is preferred.
  • Ideal candidates will have experience using NetSuite or other robust operating platforms (ie: SAP, SalesForce, etc)
  • Has a Continuous Improvement (CI) and 5S mind-set
  • Multitasking skills and the ability to maintain focus under pressure
  • Ability to work as a team and coordinate effectively
  • Making use of the information acquired during the training and quickly adapting to various situations
